* Maintain Available 1099 Types - Define the names and codes available in 1099 Type dropdowns.
* Configure Form Settings - Associate a reporting type with its form, box numbers, and number of forms per page.
* Set the Default Reporting Type - Choose the type that defaults when opening the Print 1099 screen.

Before You Begin
* Identify the form and box settings required for the reporting type being configured.
* Use a unique two-character code for each type.
* Remember that defining a type in this rule and assigning it to a vendor are separate tasks. Vendor assignments are maintained in the Remit To attribute record.

How to Use
# Open Maintain > System > Rule Maintenance.
# Select the TYPE1099 rule.
# Add or select the rule detail for the 1099 type you want to configure.
# Enter or review the Type, unique two-character Code, and system-defined Form name.
# Enter or review 1099 Form Box, Number per Page, and 1096 Form Box.
# If this type should default on the Print 1099 screen, check Default. Use this setting for one type.
# Save the rule detail.

To assign a configured type to a vendor, open the vendor's Remit To attribute record and select the appropriate 1099 Type.

Expected Results
* The configured Type name is available in 1099 Type dropdowns.
* The rule associates the type with the specified form and box settings.
* The type marked Default is selected by default when loading the Print 1099 screen.
* A vendor's assigned type is maintained in the vendor's Remit To attribute record.

After saving, review the type in the applicable dropdown and confirm that the Print 1099 screen loads the intended default.

Best Practices
* Use clear type names, keeping in mind that some dropdowns may truncate longer names.
* Preserve the unique two-character code requirement.
* Confirm system-defined form names with your Implementation Consultant.
* Review the form and box settings together so they correspond to the intended reporting type.
# Click Install in the Adjutant Update Processor.
# Click Yes when prompted to update the Help Database.
# Click Disconnect and Exit.
# Log out of Adjutant and log back in to run the new version.

Process an Update from Local Files
Use this procedure when the FTP download cannot be completed.

# Obtain the current version installation package files from ABIS personnel.
#* These files must be provided by ABIS personnel with access to the ABIS-only <code>ADJftp\AdjCurrentVersionBeta</code> FTP resource folder.
# Transfer the files to the customer's server and place them in the Adjutant folder.
# Open the End User Update Tool and check Process Local File (Skip FTP).
# Continue the standard update procedure above beginning with Check For Update.

Expected Results
* After connecting successfully, the screen displays Connected to Update FTP Server.
* Checking for an update displays the current and available versions, or the message Running version is current version.
* When an update is downloaded, the Adjutant Update Processor opens.
* After installation, logging out and logging back in runs the updated version.

To check the installed version afterward, use Check For Update to review the current version reported by the tool.

Common Issues
The Update Tool Is Missing from the Menu
Add the menu option in Menu Prompts using the screen name update. Refer to the example menu prompt linked under Before You Begin.

The FTP Transfer Will Not Complete
* If port blocking policies prevent the transfer, try Passive FTP.
* The FTPPASSIVE setup option can be enabled to make Passive FTP the default for customers that require it.
* If the server cannot connect or transfers repeatedly time out, use Process Local File (Skip FTP) with the current installation package files supplied by ABIS.

No Update Is Available
The message Running version is current version. indicates that the tool has not found a newer available version. No installation is needed.
General Information
Function: The Accounts Payable ACH process generates an ACH-formatted payment file, known as an AP EFT file, for each AP check paid. The file can then be saved and uploaded to your bank for payment processing.

This process includes vendor ACH data, the ACH Data Setup rule, checking account settings, and an email template.

* Generate an ACH Payment File - After creating an AP check and obtaining payment approval, generate an EFT file for upload to your bank.

Before You Begin
* Identify the vendor and the checking account that will be used for ACH payments.
* Have the vendor's EFT/ACH information available.
* Confirm the appropriate file format with your consultant. The ACH Data Setup rule supports a Standard Entry Class (SEC) code or the AMEGY format.
* Complete the initial setup below before generating a payment file.
* Before generating the EFT file, the AP check must have been created and approved for payment.

3. Configure the ACH Checking Account
# Open System Cash/Checking Accounts.
# Select the check forms to be used for payments from this account.
# Define the check numbers to be used for generated checks from this account.

5. Generate the AP EFT File
# Confirm that the AP check has been created and approved for payment.
# Open Transactions > Accounts Payable > Generate AP EFT File.
# Select the account from which payment will be made.
# Review the Transaction Date and First Check Number. These automatically populate with today's date and the check counter from the selected checking account.
# Enter the vendor information for the AP invoice to be paid.
# Click Generate EFT.

Expected Results
After Initial Setup
* The vendor has a Vendor ACH/EFT Data attribute containing the vendor's EFT/ACH information.
* The ACH Data Setup - ACHDATA rule contains the checking account and payment file settings.
* The corresponding System Cash/Checking Account contains the ACH information, check forms, and check numbering settings.

After Generating the File
An AP EFT file is generated that can be saved and uploaded to your bank.

File generation and upload to the bank are separate steps. Generating the file in Adjutant does not, by itself, confirm that the bank has received or processed the payment.

| Vendor ID/Name
| Enter a Vendor ID or Name to run the report for a single vendor. Leave this field blank to include all vendors.
# Enable DrillDown View if you want to access Vendor or AP Invoice records directly from the report.
# Click Output.

Understanding the Results
The report displays outstanding AP balances grouped into aging periods based on the selected settings.

The Summary report is best suited for reviewing total exposure by vendor.

The Detail report can be used to identify the individual invoices making up a vendor's outstanding balance.

When using an As Of date, the report represents the AP position based on accounting activity posted through that date.

AP Reconciliation Best Practice
For month-end reconciliation:

# Enter the appropriate month-end date in the As Of field.
# Select the applicable AP Account if multiple AP control accounts are used.
# Run the AP Aging report.
# Compare the report total to the corresponding AP control account balance in the General Ledger.
# If the totals do not match, review invoice accounting dates, payment dates, AP control accounts, and any direct journal entries posted to the AP account.

Common Issues
The report is blank or missing expected invoices

* Verify the As Of date.
* Check whether a Vendor or AP Account filter has been entered.
* Review the PrePays selection.
* Confirm the invoice remains open as of the selected accounting date.

A vendor balance does not look correct

* Run the report using Detail.
* Review the individual invoices and payments making up the balance.
* Confirm whether the report is grouped by RemitTo or SoldFrom.

The AP Aging does not match the General Ledger

* Confirm the same As Of date is being used.
* Confirm the correct AP control account is selected.
* Verify that invoices and payments were posted with the expected accounting dates.
* Review the AP control account for direct GL journal entries or other activity that did not originate through Accounts Payable.
